Course 04 — The office file
If it is not in the folder, it did not happen. DemDesk holds the day. Not payroll law.
Study notes. Not a certificate. Not a licence. Not NEBOSH, PESO, ISEE, or IDE. We never design the charge, spacing, or the cut. Site hours and statutory papers have no video substitute.
Lesson 1 · 15 min
Chat is not the job folder
A WhatsApp thread is not custody. Hours, tickets, extras, holds — one home, or they did not happen. DemDesk is that home. This page is the rule, not the login.
- You can name the folder for this job.
- A screenshot of chat is not the record.
Lesson 2 · 20 min
Propose, then confirm
A draft extra is not a fact until a named person confirms it. Software can hold both states. It should not silently promote a guess.
- Proposed and confirmed are different.
- Who confirmed is a name, not a group chat.
Lesson 3 · 20 min
Same-day extras
Photo, size, file — the day it appears. Goodwill at month end is unpaid work. Course 01 said this. Course 04 is the office doing it.
- Photo in the folder the same day.
- Size written.
- Proposed, then confirmed.
Lesson 4 · 20 min
Holds live in the folder
Power, possible asbestos, neighbour limit — a hold that lives in someone's head is how the machine starts. Write it. The site manager and safety advisor both need the same note.
- The hold is in the folder.
- Who can lift it is named.
Lesson 5 · 15 min
Hours and tickets leave the phone
Operator hours on a scrap of paper vanish. Tickets that live in a pocket are not tickets. The day's plan names who is on the iron; the folder keeps the paper.
- Hours have a home.
- Required tickets are named or work does not start.
Lesson 6 · 20 min
The folder is the closeout
At the end, the client asks what happened. If the extras, holds, and hours are already in the folder, closeout is a print. If they are in chat, closeout is a fight. BackOffice is the service when you are drowning. We still do not run your payroll law.
- Closeout can be opened without calling the site.
- Blank extras at month end are not a surprise.
